Going Google - A progress update

From Carol L. Smith, CIOGoogleDocsLogo

The Google Apps rollout is well underway and I wanted to provide a quick update.

As always, if you have any questions about the Google Apps rollout (or any other IT-related projects), please don’t hesitate to contact me at clsmith@depauw.edu.

Cheers,

--Carol.

Key Points in the following include:

1) Active Google Apps Accounts

2) Where to get help – Check out the FAQ’s list

3) Demonstrations and workshops

4) Special accounts

5) Remember the timeline!

1) Active Google Apps Adopters

The campus is making great progress. In the first 12 days, nearly 1400 students, faculty and staff members have activated their accounts, including over 700 people on the first day alone! At this count, then, we are about 1/3 of the way toward everyone having logged in and started using Google Apps.

2) Where to get help – Check out the FAQ’s list

As you begin and continue your own transition to Google Apps, I encourage you to refer often to the Google Apps Information site for information and assistance. Based on questions we have heard during the first week, we made changes there so the most common questions are easier to find and added a rich FAQ’s list.

The FAQ’s list is updated often, and includes answers to common questions as well as some expected (but awkward!) side effects of having Google Apps and GroupWise simultaneously enabled during this spring’s transition period.

For example, did you know that the DePauw Google Apps automatic out-of-office responder does not work right now?
Find out why and how to work around it on the FAQ’s list.

If you cannot find the answer you need on the help site, email gapps@depauw.edu.

3) Demonstrations and workshops

There are several demonstrations and workshops scheduled during the next few weeks. The schedule is available at the Google Apps Information site and on the University calendar (search for the #googleapps hashtag).

The transition team is also happy to meet with your department to provide a demonstration and help you develop a departmental rollout strategy. Many departments are planning to transition their members together as a group so they can help each other learn the new system and avoid the awkwardness of trying to share calendars between Google Apps and GroupWise.) Contact gapps@depauw.edu if you wish to arrange one of these meetings.

4) Special accounts (e.g., basketweaving@depauw.edu)

If you have a special account for your department or group, you will receive an email in the next week with information about transitioning it to Google Apps. Watch for those details to come.

5) Remember the timeline!

On May 1, 2010, Google Apps will be DePauw's primary email system. On this date, you will no longer be able to send email from GroupWise/Tigermail and all incoming email will go directly to Google Apps Mail.

Be sure to plan a personal timeline so that you have begun using your Google Apps account as your primary system by this date!
